Understanding the challenge

BE YOURSELF is a growing education and community brand. As the sole Creative Designer, I was across everything — print, video, social, and web UI. The real bottleneck wasn't the work itself, though. It was the feedback: multiple stakeholders, no structure, and requests coming in whenever. That slowed production down and made it hard to keep the brand looking consistent. I needed a process that could actually scale.

The Approach

Rather than just working faster, I focused on fixing the workflow itself. That meant moving from constantly reacting to requests, to building a system — clear feedback loops, and design guidelines solid enough to protect the brand as things scaled up.

The Execution
  • Fixed the workflow: Set up a project management and feedback system in Notion. This cut down a lot of back-and-forth when coordinating with the team and taking direction from the CEO and Brand Manager.

  • Built a proper visual system: Turned core design elements into reusable assets and put together clear brand guidelines. I rolled these out across Content, Marketing, and Sales, and worked closely with the Brand Manager to keep everything consistent. That made producing pitch decks, social content, and landing pages a lot faster.

  • Brought AI into the pipeline: Started using AI to help analyse data and understand our audience, then used AI-driven video tools to speed up the repetitive parts of editing — without the final product looking any less considered.

  • Kept it cost-effective: AI tools aren't free to run at scale, so I put in the time myself to get across token management and keep the workflow efficient for the business.

The Result

The new process changed how the whole team worked — faster output, without losing quality or blowing the budget.

  • 60% faster production: Cut the video production cycle from 5 months down to 2, through AI automation and a cleaner Notion workflow.

  • Big jump in reach: Views went from an average of ~50K to viral peaks of 2.3M, 1M, and 911K.

  • Stronger engagement: Average likes went from under 100 to a consistent 1,000+, peaking at over 5,700.

  • Reliable delivery: Kept output consistent and on schedule, even with tight marketing timelines.
